Hot Tips for Summer Event Planning

Summer is upon us, and outdoor events will soon be in full swing, and while exciting, this is a notoriously busy (and stressful) time for event planners working around the clock to make sure everything is organised for the big day!

When it comes to event planning, things can quickly get overwhelming. That’s why we’ve put together a list of hot tips to help you plan the perfect summer event!

  1. Start planning early. This will give you plenty of time to arrange all the necessary elements that will make your event a success.
  2. Consider using professional event management services. Hiring an event planner or coordinator to support you can take a lot of the stress out of the process and help ensure that everything runs smoothly.
  3. Choose a theme. A theme can help you to focus your event planning and make sure all of your details come together cohesively. Whether you’re throwing a pool party, beach bash or backyard BBQ, pick a theme and run with it!
  4. Make a guest list. An obvious one right? One of the most important things to plan is to plan and list out who you’re going to invite. You might find it’s a good idea to make an Excel sheet or a Google sheet with everyone you need to invite, and where you can record all the RSVPs.
  5. Choose the location. Be sure to choose a location that is comfortable and accessible for your guests. Think about where everyone lives/works most of the time and factor that into the decision.
  6. Book the venue. Post-pandemic, many event venues are finding themselves booked up quickly as people are so keen to get back to socialising, so don’t delay and book your perfect venue today!
  7. Send out guest invitations. Do it early. Simple!
  8. Organise catering & refreshments. If you’re having trouble deciding what to serve, try looking for inspiration online or in cookbooks. For something really unique, hire a professional caterer.
  9. Be prepared for the weather! it’s important to be prepared for weather contingencies, particularly for UK based events! If you’re planning an outdoor event, have a backup plan in case of rain or excessive heat.
  10. Entertainment. Depending on the type of event you’re throwing, this could include hiring a band, comedian or speakers, renting a photo booth, or simply putting together some fun games and activities for your guests to enjoy.
  11. Accommodation for guests. If the venue is a bit out of the way or is likely to go on to the wee hours, you could hunt around for nearby accommodation where guests can safely make it back to for a comfortable night’s (or mornings!) sleep.
  12. Don’t forget to have fun! Planning an event can be challenging, but it’s also an opportunity to be creative and bring your vision to life. With a little careful planning, you can ensure that your summer event is professional, helpful, and fun.
